Description of Duties for Board Members and Staff
PRESIDENT
- Function as CEO of a non-profit organization;
- Preside over all meetings of the Board;
- Set the time and place of meetings and notify all Directors of such meetings;
- Prepare the agenda with the Secretary for meetings;
- Act as the liaison to outside organizations;
- Initiate new programs and implement changes to league structure;
- Be empowered to co-sign, with the Treasurer, checks and other financial obligations of the Corporation;
- Liaison to Mid-American District of USA Hockey.
VICE PRESIDENT
- Perform all duties and exercise all powers of President when the President is absent or otherwise unable to act;
- Oversee and lead the Grievance Committee;
- Perform all other duties as designated by the President, including but not limited to Discipline and Safesport Violation related issues.
DIRECTOR OF HOCKEY
- Supervise the entire scope of hockey related activities
- Provide leadership and strategy for on-ice and off-ice development for each team and the overall program
- Work with team managers and coaches to resolve/minimize any team level issues
- Facilitate and participate in the coach selection process
- Assist in assignment of all ice times across all teams and levels within the hockey program
- Develop camps and other sessions for player development
- Oversees tryouts for all levels.
- Be a resource to coaches regarding practice plans, by providing drills, etc.
- Works with the registrar to ensure that all required coaching certifications are attained by EYHA coaches within the required time frames
- Is the main point of contact with EYHA families when questions or concerns arise
SECRETARY
- Keep minutes of all Board of Director meetings;
- Maintain a list of all members, non-members attendance at meetings;
- Perform the duties of the President in the absence of the President and Vice-President;
- Post the minutes of Board meetings on the website;
- Send notices to EYHA families of upcoming events and league information.
TREASURER
- Maintain records of all funds received and payments made;
- Make payment for all expenses authorized by the Board.
- Prior approval of the Board will be required for all expenses to be charged EYHA for services rendered by members and non-members for any purchases.
- Submit a financial report at regular Board meetings;
- Be empowered to sign checks and other financial obligations of EYHA, provided that all checks shall be countersigned by another Director;
- Prepare the annual budget to be presented at the October Board Meeting;
- Sees to the performance of an independent audit on an annual basis;
- The results of such an audit shall be presented to the Board of Directors and the membership annually at the September Board of Directors Meeting;
- Perform all other duties as designated by the President.
TRAVEL COORDINATOR
- Due to the nature of this role, the Travel Coordinator should be a highly qualified individual with an advanced knowledge of hockey, including but not limited to coaching and playing experience at a high level.
- Mentors and gives feedback to coaches. Helps out on the ice as needed.
- Works with the Director of Hockey to facilitate travel tryouts. This includes but is not limited to helping to evaluate players and running or assisting on-ice activities.
- Work closely with ice scheduler to ensure all travel teams receive appropriate ice time.
- Work with the treasurer, coaches, and managers to assist in creating team budgets and reviews expenses.
SELECT COORDINATOR
- Work closely with ice scheduler, assisting the ice scheduler with any needs for the select teams;
- Work with the treasurer, coaches, and managers to assist in creating team budgets and reviews expenses
- Help to disseminate information to the teams (such as fundraising opportunities, team photos, etc).
- Work with the Director of Hockey to facilitate tryouts.
- Coordinate jersey orders with the Jersey Coordinator for all players on teams.
ASSISTANT DIRECTOR OF HOCKEY
- Due to the nature of this role, the Assistant Hockey Director should be a highly qualified individual with an advanced knowledge of hockey including but not limited to coaching and playing experience at a high level.
- Fields questions and issues with the Director from the membership.
- Performs all other duties as designated by the Director.
FUNDRAISING COORDINATOR
- Secure sponsorships
- Community fundraising for the organization
VOLUNTEER COORDINATOR
- Coordinates and secures volunteers for EYHA sponsored events. (i.e. Evaluations, team pictures, raffle baskets)
- Chooses a photographer for teams and coordinates scheduling with the photographer
SOCIAL MEDIA COORDINATOR
- Facebook and Instagram editor of official EYHA page
- Create infographics to post on social media and the website
- Promote and publicize EYHA events (camps, checking clinics, tryout registrations, etc)
COLUMBUS MAVERICKS REPRESENTATIVE
- Reports to EYHA about the Mavericks organization
- Organizes volunteers for Mavericks games
- Provides juniors team players to assist with EYHA practices.
UNIFORM AND SPIRITWEAR COORDINATOR
- Responsible for researching the best price for EYHA team jerseys, socks, bags, and warm-ups;
- Coordinates with team managers and coaches proper sizing, players names and numbers;
- Coordinates the printing of EYHA logos, player names and numbers;
- Distributes uniforms to team managers and coaches.
- Works with Mavericks representative to research the best price for EYHA logowear.
- Organizes and distributes spiritwear
- Assist in selecting items for sale.
Staff: Ice Scheduler/Registrar
- Assist the Director of Hockey in coordinating tryouts, by creating registrations on the website
- Verify that all players/coaches are registered with USA Hockey, and that all coaches are properly vetted
- Collect the following for every EYHA player: Lindsey’s Law paperwork, Code of Conduct policy forms, and USA Hockey Medical Consent to Treat form. Sort the medical forms by team and ensure that the team managers keep the forms with them, in their team binder, during all team events.
- Produce team rosters to submit to Mid Am for approval.
- Obtain ice time from the Chiller Association and distribute amongst all EYHA teams and programs.
- Communicate changes in established schedules to appropriate team representatives (coaches and managers)
- When ice cannot be used by assigned team(s), scheduler will work to reassign the ice time or give it back to the Chiller Association (must be done 30 days in advance)
- Approve EYHA weekly ice schedule for the Chiller, which will also assist Treasurer with reconciliation of the amount billed
- Keep a record of all ice time scheduled for EYHA.
- Updates the website with new registrations and schedule additions/changes.
- Procures referees through 614 Ice Refs.
